Classification
Before an EDRM system can be implemented, a suitable classification scheme (similar to a fileplan) should be established to organise the records. Sometimes existing fileplans such as those developed for paper files, or a standard like the Local Government Classification Scheme, can be adapted. However where there is no suitable existing fileplan a new one must be created.
Development can be a long and complex task that must often be completed in a short timescale. Preparing a new fileplan brings challenges:
- It requires training in business analysis and an ability to reconcile conflicting business requirements
- Managing fileplan information during development is a complex task
- It requires concentrated input of human resources within a short period
- In the case of large fileplans, it is difficult to capture the information in a format that can be easily recorded and edited
