Transition Update 14 July 2021

As we move into the final weeks before transition, please note the following reminders to help ensure a smooth handover on 2 August.

Shift availability - part time and casual employees
We continue to have a number of shifts that need to be filled each day across cleaning, catering and ILS. Please help the rostering team by updating your shift availability in Time2Work up to 2 August.

Roster changes
Any changes that need to be made to rosters up until 2 August will continue to be managed by Serco. This includes night shifts that start during the evening of 1 August and carry through to 2 August. For any roster change requests for shifts that commence on or after 2 August, please contact SMHS.

Final pay and entitlements
Your final pay from Serco will include:

  • Any shifts you have worked during the fortnightly pay period 26/7/21 to 2/8/21 (where shifts are finishing on 2/8/21)
  • Any annual leave entitlement that you have owing
  • For employees under the registered agreement with UWU, any personal leave that you have owing.
  • If you have completed 7+ years service with Serco, you will also receive your long service leave payout in your final pay.

Annual Leave and Long Service Leave entitlement payments will be shown separately and taxed marginally. Personal Leave paid out will be shown separately and taxed as an Employment Termination Payment (ETP).

Managers will have until 1 August to process timesheets for the final pay period. John Horner will work closely with managers to close out all timesheets, with the exception of those who will be working into the morning of 2 August.

All employees from the transitioning services will receive their final pay and owing entitlements on 12 August.

You will receive a letter confirming your entitlements along with your final payslip, which will be mailed out to you. Please check that your postal address is correct in MyHR to avoid any delays in receiving this.

Superannuation
Superannuation is typically paid on the 20th of the month for the previous month’s earnings. Final super payments relating to your final pay on 12 August 2021 will be paid on or around 20 September 2021.

Income Statements for tax
The ATO now requires companies to upload employees’ Income Statements for the financial year to MyGov. Your Income Statement (previously known as a Group Certificate) for 2020/21 will be available from your MyGov portal from 14 July 2021. Income Statements for the Financial year 2021/22, which will include salary paid from 1 July 2021, will be available on MyGov from 14 July 2022.

New uniforms now available
If you haven’t yet picked up your new uniform, please stop by the Hyperbaric Meeting Room to collect it this week. There are quite a few that still need to be given out.

Returning current uniforms
Collection boxes have been placed in the Hospitality Office, Patient Catering area and ILS office for you to return all pieces of your uniform after your final shift as a Serco employee. There are separate boxes for pants, shirts and jumpers / jackets because they are going to different locations. Items that do not have a logo on them will be donated to local charities, while items with logos will be sent to Clarence Correctional Facility to have the logo removed before they are donated. Any pieces of uniform that are not in a satisfactory condition will sent to a material recycling plant. It is our hope that nothing ends up in landfill and we thank you for your assistance with this.

Thank you and Farewell event
Due to recent COVID restrictions, the Thank you and Farewell event for all employees in cleaning, catering and ILS was postponed to Friday 23 July.

Transition Update 17 May 2021

We are now moving into the final stages of preparing for the transition of our cleaning, catering and internal logistics services.

Those who are transitioning to FSH have commenced training and Serco continues to work closely with the FSH Transition team to ensure a smooth handover.

Thank you to everyone who has assisted with answering questions about processes and equipment, providing information and attended training. We are very conscious that you are all busy and the work that goes into preparing for transition is added pressure in your day.

We are very proud of the way in which everyone has supported the hospital in recent months in response to COVID restrictions and in response to the general increase in activity. Over the last four months the hospital has been busier than ever and this is certainly being felt across all services.

In response to some of the questions that have been asked about uniforms and final pays, please see the below update. Please continue to contact Serco for any Serco related questions that you may have in the lead up to 2 August or talk to your manager.  

Calling in sick
If you are unwell and cannot come to work, please continue to follow the usual process for calling in sick until the morning of 2 August. Managers will need to inform MyHR of any COVID-related absences up until 2 August.

Uniform collection
In August, you will be asked to return your Serco uniform to a collection point at the hospital so that all items of clothing can be donated to charities that we are partnering with. It important to us that no items of uniform end up in landfill and that shirts and pants are repurposed for people in need. More information about this will be communicated next month.

Special farewell event
All employees in cleaning, catering and ILS are invited to special a ‘thank you and farewell’ event.

Serco will cover food and the venue hire costs, and you will be able to purchase drinks from the bar.

So that we can manage numbers for catering and venue restrictions, anyone who wishes to come to the event must register at https://www.trybooking.com/BREJC by Friday 11 June.

Final pay from Serco
Payroll has advised that Serco employees transitioning to SMHS on 2 August will receive their final pay from Serco on 12 August 2021. Managers will have until 1 August to process timesheets for the final pay period. John Horner will work closely with managers that week to close out all timesheets, with the exception of those who will be working into the morning of 2 August.

Superannuation is typically paid on the 20th of the month for the previous month’s earnings. Keeping this in mind, final super payments for monies paid on 12 August 2021 will be paid on or around 20 September 2021.

Leave loading
If you are employed under an Award that has leave loadings (HSU and UWU), leave loading entitlements will be paid out as part of your final pay. You do not need to be a Union member to receive your entitlements, including leave loadings.

Final payslips
Final payslips will be mailed out to employees using the mailing address in SAP. Please ensure your details are up to date at the end of July as your access to Serco systems will cease on 2 August. It is recommended that you save your past pay slips and check your postal address is correct by mid July.

Leave entitlements - FAQ

Annual Leave: all Annual Leave will be paid out by Serco in your final pay, regardless of which EBA you are employed under. This information is in your original employment contract with Serco. If you aren’t sure, please contact MyHR. 

Personal Leave: For employees under the registered agreement with UWU, personal leave will be paid out by Serco in your final pay as per the EBA. If you resign and will not be transitioning to SMHS on 2 August 2021 you will not be eligible to have your personal leave paid out.

Staff employed under the Health Services Union industrial agreement are not entitled to have personal leave paid out.

Transitioning employees will be able to access leave entitlements as per the WA Health industrial agreements from commencement as a SMHS employee.

Permanent full-time employees who transition to SMHS will be eligible for an advance entitlement of 64.6 hours personal leave from your first day with SMHS. Part-time permanent employees will be entitled to the equivalent on a pro-rata basis according to your contracted hours.

Parental Leave: Serco will continue to pay parental leave as per the parental leave policy until 1 August 2021. Please speak to the SMHS Transition Project team if you will be on parental leave in August 2021. Your service with Serco at FSH will be recognised by SMHS as continuous for the purposes of calculating an entitlement to Parental Leave.

Long Service Leave: Through negotiations Serco has ensured your continuous length of service with Serco at Fiona Stanley Hospital will be honoured by SMHS. Under the Long Service Leave Act, Serco is required to pay out any long service leave entitlements for people who have 7+ years long service leave and will do so in your final pay . Your length of service will still be recognised by SMHS.

 

 

Transition Update 29 March 2021

Contract Signing

The SMHS Transition Project Team will be at the Hyperbaric Meeting Room (HMR) from 8 – 23 April 2021 for you to collect your contract and sign and return a copy to the project team.  All contracts must be signed by 5pm 23 April 2021.

Please ensure you have your access card with you to confirm your identity. You will not be able to pick up contracts for other staff. The schedule for when the SMHS Transition Project Team will be at the HMR will be on the door.

Induction

A 3-hour orientation/induction for all staff will run from 10 May until 30 June 2021. You will be rostered for a session and will be advised by your manager/coordinator/supervisor on when you need to attend. Attendance at induction is compulsory. If you are unable to make it on the day, please let your manager/coordinator/supervisor know. Your time at induction will be considered work time and you will be paid for the 3 hours.   

Orientation/induction for management staff and team leaders will commence from 27 April 2021 and communication on the induction modules will occur via email with you.

Information on rosters, pay cycle with SMHS, leave and all relevant Human Resource information will be provided to you at induction.  

Uniforms

The uniform order has been placed with the supplier for more than 7,000 new uniform items for transitioning staff. The SMHS Transition Project Team will be on site in July for staff to collect their uniforms and more details on schedule for collection will be provided during the induction program.

Gap recruitment

Gap recruitment will commence in May 2021. This will include recruitment pools for permanent, fixed term and casual appointments in Cleaning, Catering and Internal Logistics. The SMHS Transition Project Team will inform the service managers when this is occurring and a poster will be put up on the noticeboard in the corridor of the Lower Ground opposite the Hospitality office. Advertisements will be placed on www.jobs.health.wa.gov.au

Workflow testing

The Transition Project has maintained their commitment to minimise the change for all hospital users as part of the transition and throughout May and June the SMHS project team will be on site undertaking workflow testing for the small number of processes that will have to change as a result of moving across to SMHS. Where input from frontline staff is required, your managers will be contacted to request your participation in the process.

Final pay from Serco

Payroll has advised that Serco employees transitioning to SMHS on 2 August will receive their final pay from Serco on 12 August 2021. Managers will have until 1 August to process timesheets for the final pay period. It is expected this pay will include all entitlements. Further information will be provided closer to the time.

Transition Update 20 January 2021

Thank you to everyone who has already returned their Letter of Offer packs to SMHS. It is vital that these are received by SMHS as soon as possible and no later than 5pm on 29 January 2021, as your signed paperwork is required to confirm your future employment.

The roster for when the SMHS Transition Project Team are available for your uniform sizing, assistance with completing your forms and return of LoE packs is is below and on the Hyperbaric Meeting Room door. Uniform sizes are required now so that orders can be placed to ensure they are received in time. The order form is in your LoE pack and must be returned with the other documents.

 

Transition Update 2 December 2020

Over the next fortnight employees in our Cleaning, Catering and ILS services will hear more about what will be happening next year as we get closer to transition.

Letters of Offer of Employment

Letter of Offer of Employment (LoE) packs will be available for collection from 10am on Monday 14 December for employees who participated in the Expression of Interest process. These can be collected in the Hyperbaric Meeting Room during the following times:  

You will need your work ID/access card to collect your pack and will not be able to collect on behalf of another person.

Any packs that are not collected by 21:30 on 22 December will be posted by registered mail on 23 December to the recipients’ mailing address.

The SMHS Transition Project Team will be based at the Hyperbaric Meeting Room in January 2021 for you to return your paperwork in the envelope provided in your pack and to have your queries answered. The schedule for January is as follows:

 

Your paperwork must be returned to the SMHS Transition Project Team or placed in the response boxes in the catering, hospitality and internal logistics offices by 5pm Friday 29 January 2021.  

Uniforms

On Friday 4 December all Hospitality, Internal Logistics and Patient Catering service employees are invited to attend the launch of the new Fiona Stanley Fremantle Hospitals Group support services uniform. Samples of the uniform will be available for viewing from 3pm in Seminar Room 2.1 in the Education Building.

Leave applications

Employees who wish to apply for annual leave before 2 August 2021 will need to follow the existing process. Managers can approve leave until 1 August 2021 as normal.

The following process has been put in place by SMHS for those of you wanting to apply to take annual leave between 2 August 2021 and 31 October 2021.

Any approved leave for this period will be taken as “Special Transition Leave”.  You will be paid for this leave as per the industrial agreements but will not accrue towards your Long Service Leave. Should you resign before the end of 12 months of service, the unearned portion of the leave must be refunded to SMHS as per the industrial agreements and regular organisational practice.

Anyone wishing to apply to take leave between 2 August to 31 October 2021 will need to complete a SMHS Leave Request Form which will be available at the catering, hospitality and internal logistics offices.  Completed forms can be given to your manager for consideration in line with service delivery requirements.  If your leave application is supported, the form will be submitted to the SMHS Transition Project Team for approval and recording.  

If you wish to take leave that starts before 2 August and ends after 2 August, you will need to apply for the period up to and including 1 August via the current process, and from 2 August onwards using the SMHS process.

Transition Update 14 August 2020

Dear Employees,

Thank you to everyone who has already returned their Expression of Interest – Pre offer of employment (EOI-POE) response. Please remember responses are due back by 5pm on Friday 28 August – which is in two weeks. We strongly recommend that you don’t leave this to the last minute as you will not be able to submit the documents after this date.

Before submitting your documents please take the time to review the checklist and ensure that you have completed all the necessary forms and have made a copy of the identification required. It is very important that you sign the consent page in the EOI-POE response form to be part of the transition process.  

If you have any questions the SMHS Transition Project team will be available in the Hyperbaric Meeting Room just down the corridor from Patient Catering at the below times. The team will be able to discuss any specific questions you have relating to your circumstances and assist with certifying the identification documents that you need to provide. Please bring the original documents in addition to the copies when you are getting these certified.

Transition Update 3 July 2020

Employees in our cleaning, catering and internal logistics services will be able to collect their FSH transition packs containing their Expression of Interest – Pre Offer of Employment (EOI-POE) from Tuesday 14 July.

The SMHS Transition Team will be handing out packs in the Hyperbaric meeting room from 14-24 July, Monday to Friday, between 09:30 – 21:30.

If you are an AM worker (i.e. your shift starts between 05:00-12:00pm), please collect your pack after your shift.

If you are a PM shift worker, (i.e. your shift starts after 12pm) please allow time to collect your pack before your shift.

Casual employees who are not rostered on between 14-24 July will need to come in to pick up your pack.

If there is a long queue or group of people waiting, please come back to collect your pack at a quieter time. 

Important information

  • You will need to show your FSH Access Card as proof of identity.
  • You will need to sign an acknowledgement form to confirm you have received your pack.
  • You can only collect your pack and will not be able to collect someone else’s pack for them.

For employees on extended or annual leave, EOI-POE packs will be posted to you on 13 July by registered mail.

Please contact the SMHS Transition Project Team if you do not receive your pack by 24 July 2020.

Incorrect or missing documents or the return envelope in EOI-POE Packs

Please contact the SMHS Transition Project Team immediately if you believe the information contained in the EOI-POE letter is incorrect (e.g. your name, contact details or position) or if there are missing documents or no return envelope.

EOI-POE Response Deadline

Responses are due back no later than 17:00 on Friday 28 August 2020.

You can either place your response in one of the FSH Transition Project Response Boxes that will be in the Catering, Cleaning and Internal Logistics offices, or you can post your response in the mail. These boxes will be emptied each week day between 16.00- 17.00 hours.  

EOI-POE responses must be submitted by 5pm Friday 28 August 2020.  If you are mailing your response please allow sufficient time for delivery noting there are postal delays due to COVID-19.  

Questions and Assistance

The SMHS Transition Project Team will be running a Drop In Centre at the Hyperbaric Meeting Room if you have questions or need assistance with your EOI-POE paperwork. They can also certify your proof of identity documents.

The Drop In Centre will be open:

  • Monday 20 July to Friday 24 July 08:00 to 21:30
  • Monday 27 July to Friday 31 July 08:00 to 21:30

The Drop In Centre will also be open Monday to Friday 3 August to 28 August 20 at times to be confirmed.

Please advise the Transition Project Team if you require an interpreter service.

Frequently Asked Questions

We have recently updated all FAQs relating to the transition of the cleaning, catering internal logistics services. All FAQs are available here. Some of the most common questions we are hearing relate to union membership and uniforms.

Regarding uniforms, SMHS has advised that it will be sourcing new uniforms for cleaning, catering and ILS employees. Representatives from each service will be asked to provide input on the design over the coming months. Fitting sessions will be held in early 2021.  

Do I need to be a union member to be offered to transition to SMHS or have my leave entitlements paid out?
No.  Everyone who is currently employed by Serco in the cleaning, catering or internal logistics services will be invited to participate in the Expression of Interest – Pre Offer of Employment to transition to SMHS - whether you are a union member or not. You do not have to be a union member to have your leave entitlements paid out. Your leave entitlements are determined by which industrial agreement you are employed under.

Do I need to be a union member for them to assist with my roster or visa issues?
No. If you have questions or concerns about your current roster with Serco please talk to your Team Leader. Please contact the SMHS Transition Project Team about any questions you have regarding SMHS rosters and visas. Additional information about visas is covered in our FAQs and has been discussed directly with employees who are on temporary visas.

Transition Update 3 June 2020

Thank you to everyone who attended the joint South Metropolitan Health Service (SMHS) and Serco briefing sessions in March to learn more about the transition of the Cleaning, Catering and Internal Logistics services to SMHS in August 2021.

We understand it has been a busy and challenging couple of months for you as frontline health workers. During this time, work has continued in preparation of the transition of these services. The SMHS Transition Project team remains on track to provide the Expression of Interest – Pre-Offer of Employment letters next month.
