Transition Update 29 March 2021
The SMHS Transition Project Team will be at the Hyperbaric Meeting Room (HMR) from 8 – 23 April 2021 for you to collect your contract and sign and return a copy to the project team. All contracts must be signed by 5pm 23 April 2021.
Please ensure you have your access card with you to confirm your identity. You will not be able to pick up contracts for other staff. The schedule for when the SMHS Transition Project Team will be at the HMR will be on the door.
A 3-hour orientation/induction for all staff will run from 10 May until 30 June 2021. You will be rostered for a session and will be advised by your manager/coordinator/supervisor on when you need to attend. Attendance at induction is compulsory. If you are unable to make it on the day, please let your manager/coordinator/supervisor know. Your time at induction will be considered work time and you will be paid for the 3 hours.
Orientation/induction for management staff and team leaders will commence from 27 April 2021 and communication on the induction modules will occur via email with you.
Information on rosters, pay cycle with SMHS, leave and all relevant Human Resource information will be provided to you at induction.
The uniform order has been placed with the supplier for more than 7,000 new uniform items for transitioning staff. The SMHS Transition Project Team will be on site in July for staff to collect their uniforms and more details on schedule for collection will be provided during the induction program.
Gap recruitment will commence in May 2021. This will include recruitment pools for permanent, fixed term and casual appointments in Cleaning, Catering and Internal Logistics. The SMHS Transition Project Team will inform the service managers when this is occurring and a poster will be put up on the noticeboard in the corridor of the Lower Ground opposite the Hospitality office. Advertisements will be placed on www.jobs.health.wa.gov.au
The Transition Project has maintained their commitment to minimise the change for all hospital users as part of the transition and throughout May and June the SMHS project team will be on site undertaking workflow testing for the small number of processes that will have to change as a result of moving across to SMHS. Where input from frontline staff is required, your managers will be contacted to request your participation in the process.
Final pay from Serco
Payroll has advised that Serco employees transitioning to SMHS on 2 August will receive their final pay from Serco on 12 August 2021. Managers will have until 8 August to process timesheets for the final pay period, which will allow additional time for review and any late changes. It is expected this pay will include all entitlements. Further information will be provided closer to the time.

Transition Update 20 January 2021
Thank you to everyone who has already returned their Letter of Offer packs to SMHS. It is vital that these are received by SMHS as soon as possible and no later than 5pm on 29 January 2021, as your signed paperwork is required to confirm your future employment.
The roster for when the SMHS Transition Project Team are available for your uniform sizing, assistance with completing your forms and return of LoE packs is is below and on the Hyperbaric Meeting Room door. Uniform sizes are required now so that orders can be placed to ensure they are received in time. The order form is in your LoE pack and must be returned with the other documents.
Transition Update 2 December 2020
Over the next fortnight employees in our Cleaning, Catering and ILS services will hear more about what will be happening next year as we get closer to transition.
Letters of Offer of Employment
Letter of Offer of Employment (LoE) packs will be available for collection from 10am on Monday 14 December for employees who participated in the Expression of Interest process. These can be collected in the Hyperbaric Meeting Room during the following times:
You will need your work ID/access card to collect your pack and will not be able to collect on behalf of another person.
Any packs that are not collected by 21:30 on 22 December will be posted by registered mail on 23 December to the recipients’ mailing address.

The SMHS Transition Project Team will be based at the Hyperbaric Meeting Room in January 2021 for you to return your paperwork in the envelope provided in your pack and to have your queries answered. The schedule for January is as follows:
Your paperwork must be returned to the SMHS Transition Project Team or placed in the response boxes in the catering, hospitality and internal logistics offices by 5pm Friday 29 January 2021.
On Friday 4 December all Hospitality, Internal Logistics and Patient Catering service employees are invited to attend the launch of the new Fiona Stanley Fremantle Hospitals Group support services uniform. Samples of the uniform will be available for viewing from 3pm in Seminar Room 2.1 in the Education Building.

Employees who wish to apply for annual leave before 2 August 2021 will need to follow the existing process. Managers can approve leave until 1 August 2021 as normal.
The following process has been put in place by SMHS for those of you wanting to apply to take annual leave between 2 August 2021 and 31 October 2021.
Any approved leave for this period will be taken as “Special Transition Leave”. You will be paid for this leave as per the industrial agreements but will not accrue towards your Long Service Leave. Should you resign before the end of 12 months of service, the unearned portion of the leave must be refunded to SMHS as per the industrial agreements and regular organisational practice.
Anyone wishing to apply to take leave between 2 August to 31 October 2021 will need to complete a SMHS Leave Request Form which will be available at the catering, hospitality and internal logistics offices. Completed forms can be given to your manager for consideration in line with service delivery requirements. If your leave application is supported, the form will be submitted to the SMHS Transition Project Team for approval and recording.
If you wish to take leave that starts before 2 August and ends after 2 August, you will need to apply for the period up to and including 1 August via the current process, and from 2 August onwards using the SMHS process.

Transition Update 14 August 2020
Thank you to everyone who has already returned their Expression of Interest – Pre offer of employment (EOI-POE) response. Please remember responses are due back by 5pm on Friday 28 August – which is in two weeks. We strongly recommend that you don’t leave this to the last minute as you will not be able to submit the documents after this date.
Before submitting your documents please take the time to review the checklist and ensure that you have completed all the necessary forms and have made a copy of the identification required. It is very important that you sign the consent page in the EOI-POE response form to be part of the transition process.
If you have any questions the SMHS Transition Project team will be available in the Hyperbaric Meeting Room just down the corridor from Patient Catering at the below times. The team will be able to discuss any specific questions you have relating to your circumstances and assist with certifying the identification documents that you need to provide. Please bring the original documents in addition to the copies when you are getting these certified.

Transition Update 3 July 2020
Employees in our cleaning, catering and internal logistics services will be able to collect their FSH transition packs containing their Expression of Interest – Pre Offer of Employment (EOI-POE) from Tuesday 14 July.
The SMHS Transition Team will be handing out packs in the Hyperbaric meeting room from 14-24 July, Monday to Friday, between 09:30 – 21:30.
If you are an AM worker (i.e. your shift starts between 05:00-12:00pm), please collect your pack after your shift.
If you are a PM shift worker, (i.e. your shift starts after 12pm) please allow time to collect your pack before your shift.
Casual employees who are not rostered on between 14-24 July will need to come in to pick up your pack.
If there is a long queue or group of people waiting, please come back to collect your pack at a quieter time.
- You will need to show your FSH Access Card as proof of identity.
- You will need to sign an acknowledgement form to confirm you have received your pack.
- You can only collect your pack and will not be able to collect someone else’s pack for them.
For employees on extended or annual leave, EOI-POE packs will be posted to you on 13 July by registered mail.
Please contact the SMHS Transition Project Team if you do not receive your pack by 24 July 2020.
Incorrect or missing documents or the return envelope in EOI-POE Packs
Please contact the SMHS Transition Project Team immediately if you believe the information contained in the EOI-POE letter is incorrect (e.g. your name, contact details or position) or if there are missing documents or no return envelope.
EOI-POE Response Deadline
Responses are due back no later than 17:00 on Friday 28 August 2020.
You can either place your response in one of the FSH Transition Project Response Boxes that will be in the Catering, Cleaning and Internal Logistics offices, or you can post your response in the mail. These boxes will be emptied each week day between 16.00- 17.00 hours.
EOI-POE responses must be submitted by 5pm Friday 28 August 2020. If you are mailing your response please allow sufficient time for delivery noting there are postal delays due to COVID-19.
Questions and Assistance
The SMHS Transition Project Team will be running a Drop In Centre at the Hyperbaric Meeting Room if you have questions or need assistance with your EOI-POE paperwork. They can also certify your proof of identity documents.
The Drop In Centre will be open:
- Monday 20 July to Friday 24 July 08:00 to 21:30
- Monday 27 July to Friday 31 July 08:00 to 21:30
The Drop In Centre will also be open Monday to Friday 3 August to 28 August 20 at times to be confirmed.

Frequently Asked Questions
We have recently updated all FAQs relating to the transition of the cleaning, catering internal logistics services. All FAQs are available here. Some of the most common questions we are hearing relate to union membership and uniforms.
Regarding uniforms, SMHS has advised that it will be sourcing new uniforms for cleaning, catering and ILS employees. Representatives from each service will be asked to provide input on the design over the coming months. Fitting sessions will be held in early 2021.
Do I need to be a union member to be offered to transition to SMHS or have my leave entitlements paid out?
No. Everyone who is currently employed by Serco in the cleaning, catering or internal logistics services will be invited to participate in the Expression of Interest – Pre Offer of Employment to transition to SMHS - whether you are a union member or not. You do not have to be a union member to have your leave entitlements paid out. Your leave entitlements are determined by which industrial agreement you are employed under.
Do I need to be a union member for them to assist with my roster or visa issues?
No. If you have questions or concerns about your current roster with Serco please talk to your Team Leader. Please contact the SMHS Transition Project Team about any questions you have regarding SMHS rosters and visas. Additional information about visas is covered in our FAQs and has been discussed directly with employees who are on temporary visas.

Transition Update 3 June 2020
Thank you to everyone who attended the joint South Metropolitan Health Service (SMHS) and Serco briefing sessions in March to learn more about the transition of the Cleaning, Catering and Internal Logistics services to SMHS in August 2021.
We understand it has been a busy and challenging couple of months for you as frontline health workers. During this time, work has continued in preparation of the transition of these services. The SMHS Transition Project team remains on track to provide the Expression of Interest – Pre-Offer of Employment letters next month.
