Our policies, procedures and other resources

Group policies are available on our website and can be viewed here.

These policies and supporting procedures form the Serco Management System (SMS). The SMS sets out for each policy area requirements by role so you can understand what is expected of you. It also provides supporting procedures and related documents. 

Access to these documents is for Serco colleagues only and you will need to log into myserco to access them. If you have problems accessing them, please request a copy from your manager.

Definitions

What is AI?
AI covers a broad range of technologies, which can generally be grouped as follows:

AI-powered tools that enable machines to understand and respond to human language. A large language model (LLM) such as GPT-3/4, is a type of machine learning model that can handle a wide range of natural language processing (NLP) use cases.

A category of AI algorithms that generate new outputs based on the data they have been trained on.

AI-powered systems that can interpret and analyse visual data, such as images and videos.

AI-powered algorithms that enable machines to learn and improve from data without being explicitly programmed.

AI-powered machines that can perform tasks autonomously.

AI-powered tools that use data to predict future outcomes.

If you're a manager

  • Make sure you are aware of the laws and regulations that apply where you operate if considering using AI Technology.  If you are not sure, consult your local legal team.

  • To minimise risk consider using only partial data sets to remove those elements of data that would be prevented by this policy to use the services in a compliant manner.

  • Follow our procurement guidelines for engaging with new IT providers/services before subscribing to the service.

  • Never use a Serco Purchase card or Personal Credit Card to subscribe to such services where they are being used for Serco Business purposes.

  • Always ensure the suitability for use of any solution that uses AI Technology is established before procurement or use.

  • Where a service or system uses AI Technology ensure there is specific user guidance materials in place.

  • Ensure your divisions central IT team are engaged for all solution development and delivery activities, including all trials, proof of concepts and pilots.
